Development & Operations Associate

This position will be based in: Seattle, WA

The Development & Operations Associate will support the administrative functions of the executive team and the day-to-day needs and activities of MNM’s fundraising and operations teams. This role requires maturity and discretion, great attention to detail, and a high level of professional administration and communication skills. This is an excellent opportunity to gain a comprehensive understanding of the global health and nonprofit sectors while applying exceptional administrative skills.

Reports to: Chief Growth Officer

Duties and Responsibilities

Executive Support (estimated 40%)

• Provide administrative support of a complex, confidential, detailed and time-sensitive nature to Chief Executive Officer (CEO) and Chief Growth Officer (CGO), including but not limited to:

• Scheduling and calendar management, including engagement with both internal and external stakeholders and multiple U.S. and global time zones

• Tracking workflow and priorities through strategic handling of incoming requests

• Tracking engagement with key donors and partners

• Arranging meeting agendas, taking notes, and drafting correspondence as requested

• Coordinate complex and continually changing domestic and international travel for MNM’s leadership team and occasionally other MNM staff members

• Track and process business-related expenses and complete expense reports for executive team

Development Team Support (estimated 40%)

• Support Development Manager with donor tracking systems, including:

• Entering, processing and acknowledging gifts

• Preparing reports to track and audit donations, pledges and revenue goals

• Ensuring donor records are accurate and up to date

• Support planning, execution and follow-up for special events

• Conduct prospect and donor research; track individual prospect activity

• Support grant / proposal research and development

• Draft outreach materials and donor communications

• Support development team files, calendar, and meetings

Operations Team Support (estimated 10%)

• Support recruitment & new hire onboarding efforts (e.g. posting job advertisements, downloading application materials, scheduling candidate interviews, updating onboarding materials, etc.)

• Track employee vacation and work-related travel on shared calendars

• Solicit and track staff time allocations on monthly basis

• Help draft and organize Board of Directors meetings and materials

• Support planning, execution, and follow-up for staff retreats

General Office Management and Adminstration (estimated 10%)

• Perform administrative duties including answering and directing all incoming calls, responding to inquiries, distributing all incoming mail, and greeting guests

• Manage office equipment and liaise with IT support or other external vendors as needed

• Manage office voicemail and maintain updated staff directory

• Administer and track conference room reservation and conference line schedules

• Track and order office supplies and printing orders (e.g. business cards, letterhead)

• Performing other administrative duties as requested or as responsibilities dictate


Required Skills and Desired Credentials

• Bachelor's degree required

• 2-3 years' work experience in a professional environment providing administrative and/or fundraising support (experience in directly supporting senior leadership members preferred)

• Ability to work independently or as part of a team with minimal supervision

• Ability to prioritize and handle simultaneous assignments while adapting to changing deadlines, priorities and workflow with success and accuracy

• Ability to manage sensitive and confidential information and documents with discretion and maturity

• Passion for social impact and enthusiasm for Malaria No More’s mission to end one of the world’s oldest and deadliest diseases within a generation

• Extraordinary attention to detail and organizational skills

• Excellent interpersonal and communications skills

• Excellent writing and research skills, including report writing

• Excellent computer skills required, including Word, Excel, Outlook and PowerPoint

• Experience with Raiser’s Edge preferred
