Operations & HR Associate

The Operations & HR Associate will support the administrative functions of the executive team and the day-to-day needs and activities of MNM’s Operations & HR team. This role requires maturity and discretion, great attention to detail, and a high level of professional administration and communication skills. This is an excellent opportunity to gain a comprehensive understanding of the global health and nonprofit sectors while applying exceptional administrative skills.

Reports to: Director of Human Resources

Location: Seattle, WA

Duties and Responsibilities

Executive Support (30%)

  • Provide administrative support of a complex, confidential, detailed and time-sensitive nature to
  • Chief Executive Officer (CEO) and other Leadership Team members, including but not limited to:
    • Scheduling and calendar management, including engagement with both internal and external stakeholders and multiple U.S. and global time zones
    • Tracking workflow and priorities through strategic handling of incoming requests
    • Tracking engagement with key donors and partners
    • Arranging meeting agendas, taking notes, and drafting correspondence as requested
  • Coordinate complex and continually changing domestic and international travel for MNM’s leadership team and occasionally other MNM staff members
  • Help draft and organize Board of Directors meetings and materials
    Track and process business-related expenses and complete expense reports for executive team

Operations & HR Team Support (30%)

  • Administer payroll administration and benefits
  • Maintain and keep current human resource records, including but not limited to the individual files of current and past employees
  • Support recruitment & new hire onboarding efforts (e.g. posting job advertisements, downloading application materials, scheduling candidate interviews, updating onboarding materials, etc.) as well as offboarding efforts
  • Support planning, execution, and follow-up for staff retreats and meetings

General Office Management and Administration (estimated 20%)

  • Facilitate employee engagement initiatives and team building activities for staff
  • Manage office equipment and supplies and liaise with IT support or other external vendors as needed
  • Create and disperse staff surveys and feedback
  • Perform administrative duties including answering and directing all incoming calls, responding to inquiries, distributing all incoming mail
  • Performing other administrative duties as requested or as responsibilities dictate.

Qualifications

  • Bachelor's degree required
  • 2-3 years’ work experience in a professional environment providing administrative and/or HR support (experience in directly supporting senior leadership members preferred)
  • Ability to work independently or as part of a team with minimal supervision
  • Ability to prioritize and handle simultaneous assignments while adapting to changing deadlines, priorities and workflow with success and accuracy
  • Ability to manage sensitive and confidential information and documents with discretion and maturity
  • Passion for social impact and enthusiasm for Malaria No More’s mission to end one of the world’s oldest and deadliest diseases within a generation
  • Extraordinary attention to detail and organizational skills
  • Excellent interpersonal and communications skills
  • Excellent writing and research skills, including report writing
  • Excellent computer skills required, including Word, Excel, Outlook, PowerPoint, and Dropbox

Compensation

MNM offers a competitive compensation package based upon previous experience. This is a full-time, exempt role and is eligible for MNM’s comprehensive benefits package, including high-quality medical/dental/vision coverage, 20 vacation days, 10 sick days, 14 paid holidays, summer Friday flex time and paid parental leave, medical/dependent care/commuter FSAs, short- and long-term disability and life insurance, and a 401K plan with an employer safe harbor contribution.
